What we hold, why we hold it, who else sees it, and how long it stays. Short, because we collect little.

Who this is about
Two different people use CourtDesk, and we hold different things about each.
Clubs, who sign up and pay. Visitors, who ask a question on a club’s website or page without ever having an account.
If you are a club
We hold your email address, so you can sign in and we can reach you.
We hold the information you give us about your club: its name, location, contact details, booking link, and the answers you write to our questions. That is the material the assistant answers from, so it is published in the sense that it is shown to anybody who asks a relevant question.
We hold what your assistant has been asked and what it replied, so we can show you your own dashboard.
If you asked a club a question
We keep what you typed and what the assistant replied, and the club can read it. Do not type anything into it you would not say to somebody at reception.
If the assistant cannot answer and you give it an email address so the club can reply, we pass that address and the conversation to the club by email, and keep a copy so the club can see what is outstanding.
We do not build a profile of you, we do not track you between clubs, and we do not sell anything to anybody.
The assistant is a third-party model
Answers are generated by a language model run by another company. To produce an answer, the question, the recent conversation and the club’s published information are sent to that company.
Which company depends on how the site is configured; it is currently one of Anthropic, Google or Groq. None of them is given your name or your email address, and we choose providers that do not train on what is sent through their paid interfaces. We cannot promise more than that about somebody else’s systems, so we would rather say so plainly than imply otherwise.
Who else sees anything
Stripe takes payments. Card details go to Stripe and never reach us; we hold only the customer and subscription identifiers Stripe gives back.
Our email provider sends sign-in links and forwards enquiries, so it handles the addresses those are sent to.
Vercel hosts the site and counts page views. That counting uses no cookies and identifies nobody.
Neon stores the database, in the United Kingdom or the European Union.
Nobody else. We do not sell or share data for advertising.
How long we keep it
While a club is with us, everything above. Thirty days after a club closes its account we delete its information and its conversations.
Records of payments are kept for six years, because tax law requires it.
What you can ask for
You can ask what we hold about you, ask for it to be corrected, or ask for it to be deleted. Write to us at ivan.merrywood@gmail.com and we will do it within a month, and usually the same week.
If you asked a club a question and want that conversation removed, tell us roughly when and which club, and we will find it.
If you think we have handled your information badly, you can complain to the Information Commissioner’s Office at ico.org.uk. We would rather you told us first so we can put it right.
